Manage multiple hospital locations

Roo makes it easy to manage relief shifts across all the locations in your hospital network in one convenient place. Welcome to the ultimate scalable solution that grows with your organization!

Use the Manage Hospitals menu to quickly add new hospital locations or organize your existing locations into groups, which can be managed by an assigned Group Admin.

You can also use the Manage Users menu to add new users to your account and manage their permissions, whether they’ll be overseeing a single hospital (and only have access to relief shifts at that location) or multiple locations within an assigned group.

We also have a variety of filters to view your upcoming schedule, pending requests, and more at both the hospital and group level to make navigation a snap. Let’s hop into the details!

🛠️ How to create a new group

Click Account and select “Enterprise Account” from the dropdown menu to see all the group, user, and hospital management tools for your account.

  1. Select “Manage Users” in the lefthand column to add Group Admins or Hospital Admins and edit their assigned locations or permissions.
  2. To create a new group, select “Manage Hospitals” in the lefthand column, then click the ➕ Plus button and select “Create Group.”
  3. Name your group. The creator of the group will mange it by default, and you can always assign additional Group Admins to oversee it.

A Group Admin can: - Post shifts for all hospitals in the group - Review and confirm pending shift requests - Add new hospitals to or remove hospitals from this group 4. Next, add unassigned hospitals to groups. You’ll have the option to drop them into your new group now or skip that step for later.

✏️ Making changes to groups

  1. To make changes to a group’s name or assigned hospitals, head to the Manage Hospitals page.
  2. Click the box next to any hospital in the group that you want to change. Making changes to the group will update for all hospitals in the group, even unchecked locations.
  3. Click the Folder + Pencil icon to to see a menu where you can Rename the group or request to Remove that group. Follow the prompts and click “Save” to finalize your changes.

🚑 Managing existing hospitals

From, this same menu, you can reassign hospitals to a different group.

  1. In the Manage Hospitals page, use the checkboxes to select any hospitals whose group you’d like to change.
  2. Next, click the folder + pencil icon to see a menu where you can change the group of all selected hospitals at once. That was easy!

  3. Only one location to change? To change the group of a single hospital, click the three-dot menu (…) at the end of the hospital’s row and click “Reassign group.” You’ll see a menu with options to reassign the hospital to a new group or remove it from your account.

🏥 Add a new hospital

  1. In the Manage Hospitals page, click the ➕ Plus button, and select “Add new hospital”
  2. Fill out the hospital’s info on screen and click “Done.”
  3. This hospital will automatically be approved to post new shifts, but its profile will still need to be completed. The more info you include, the better its chances will be of attracting top Vets and Techs for relief shifts.

From here, you can assign the hospital to a group or leave it unassigned (we won’t judge). If you’d like to add a manager specifically for this hospital location, head to the Manage Users page.

We’ll let you know if we think the hospital already exists on Roo. It may be a duplicate or not associated with your account yet. Our Customer Support team is all over this, and a ticket will be created automatically for you if help is needed.

🗑️ Removing a hospital from your account

If a hospital location has closed or you need to remove it from your account, click the three-dot menu (…) next to the hospital name and select “Remove from account” to begin the process.

Want to remove several hospitals at once? Select the check boxes in the Manage Hospitals page and click the trash can icon.

This will begin a brief review period while we confirm the following requirements for each hospital you’re trying to remove:

  • No future shifts (requested or confirmed)
  • No outstanding balances

Once the hospital meets those requirements, it will be marked as “Blocked.” The location will no longer be able to post new shifts, but you’ll still have access to its historic data in your account.
