How are refunds and payment adjustments handled?

Adjustments prior to an upcoming shift

If anything changes with an upcoming shifts, please let us know as soon as possible so we can ensure your invoice is accurate.

Refunds prior to an upcoming shift

Before you cancel a confirmed shift, we’ll let you know how much of the shift cost will be refunded and the final billed amount your hospital will be responsible for. These amounts are based on how far away the shift is.

If you cancel a shift 8 or more weeks in advance, you’ll receive a full refund.

Cancellation takes place Refund amount
8+ weeks before shift 100% refund
6 to 8 weeks before shift 75% refund
4 to 6 weeks before shift 50% refund
2 to for weeks before shift 25% refund
Under 2 weeks before shift no refund

As a reminder, you can freely remove a shift that is not confirmed without penalty. We only ask that you try to limit removing shifts that have been requested as this provides a bad experience for Roo Vets and Techs.

What if a Vet or Tech works past their scheduled end time? (Additional Time)

We always encourage you to end your shifts at the scheduled time unless both parties agree to Additional Time services and payment. We also encourage our Vets and Techs to communicate with you when they work Additional Time so that there are no misunderstandings.

  1. If a Vet or Tech works past their scheduled end time, they will submit an “Additional Time Request” to let us know.
  2. You’ll be given 72 hours to confirm or dispute their request. Once you confirm their request, we’ll follow up with an additional invoice. If we don’t hear from you within 72 hours, we’ll automatically approve their request.
  3. If there’s a dispute, we’ll contact you and do our very best to get to the bottom of it. We always want to make sure we get this stuff right, and we’re happy to hear you out.
