How to set up and manage Auto-Request (Veterinarians)

Auto-Request Shifts

Auto-Request is an optional feature that automatically submits shift requests on your behalf. Roo will send you a notification with your auto-request match once a new shift is posted that matches your Auto-Request preferences. You’ll have 24 hours to cancel the auto-request match before it’s officially requested, or you can leave it on autopilot for us to handle the rest!

How to turn on Auto-Request

Step 1: Go to “Auto-Request” in your Account Settings and toggle on “Auto-request shifts”. Please note that shift notifications for receiving an Auto-Request match, when an Auto-Request match has been requested, or when shift details have changed for an Auto-Request Match, are required to receive via email and SMS so you never miss an Auto-Request alert.

Step 2: Select which hospitals you’d like to receive auto-request matches for. These can be your Favorited hospitals or hospitals you’ve Worked at Before.

Step 3: Select which days of the week you’re available for auto-request.

  • If you’ve marked your availability in your Schedule page, those days will be pre-selected for you. You can update your preferred auto-request days here.
  • You can also set a date range for when you’d like auto-request matches to occur

Step 4: Enter your minimum hourly rate or minimum shift total pay.

How to review and cancel an auto-requested shift

When new shifts are posted that match your auto-request criteria, you’ll receive an email, push, and SMS that notifies you that the shift will be automatically requested in 24 hours.

  • Open any of the notifications to take you to your Auto-Request matches. You can also view these at anytime by clicking the “Auto-requests” filter chip on the Search page.
  • Click into any of your Auto-Request matches to view the shift details, propose new pay or time (if enabled by the hospital), request the shift now, or cancel the auto-request
  • If you don’t take any action, the shift will be automatically requested after 24 hours

Important things to know

  • Cancellation policy: Roo’s regular cancellation conduct guidelines still apply with all Auto-Request shifts.
  • Auto-Request only sends you matches for newly posted shifts. When you turn on Auto-Request, it applies to shifts posted from that point forward starting at least 2 weeks out.
  • Auto-Request match will be cancelled if it no longer matches your preferences: If a hospital updates the shift’s details during the 24-hour grace period, and the shift no longer matches your Auto-Request criteria, we’ll let you know and we’ll automatically cancel the Auto-Request match so it won’t be requested on your behalf.
  • Only shifts between 2 weeks and 3 months out are eligible. Shifts starting at least two weeks out gives you a planning buffer so you're not committed to shifts coming too soon. Shifts outside this window will not be auto-requested, even if they match your other preferences.
  • There is a daily cap of 5 auto-requests per calendar day. This limit applies to the day the request is submitted, not the shift date.
  • You won’t receive Auto-Request matches for days with confirmed shifts. If a new shift is posted that matches your Auto-Request criteria, and you have an existing confirmed shift that day, it will not be auto-requested.
  • Instant Book shifts & Auto-Confirm are not eligible for Auto-Request. Instant Book shifts will not be Auto-Request eligible. If you are on a hospital’s Auto-Confirm list, you will not be auto-requested.
  • Hospitals won’t see that a shift is auto-requested: At this time, shift requests that are submitted via Auto-Request will appear normally as if you submitted the shift request manually.

Best practices to keep in mind

To get the most out of Auto-Request, it's best to set up your preferences that reflect how you actually want to work and the shifts you’d want to request.

  • Keep your availability up to date. Your availability settings directly shape which shifts get auto-requested. If your schedule changes, update your availability so Auto-Request stays aligned with when you can work.
  • Use the 24-hour window to your advantage. If you receive an auto-request notification, take a moment to review it if you think you may cancel the match. If something doesn't look right, cancelling within the window is always an option with no penalty. If you want to request a shift faster, click "Request Now" to request it before the 24 hours is up.
