Creating shifts using the Bulk Shift Upload tool

Want to add a large amount of shifts or shifts across multiple locations quickly? Use the Bulk Shift Upload tool in Roo to add up to 400 Vet and Tech shifts across multiple locations all at once!
 

Here’s how to bulk upload shifts:

1. On your Dashboard, select the Plus (+) button in the upper right corner and select Bulk Shift Upload from the menu.

2. Click Download Template. This will create a .xlsx template that is specific to you and the hospital locations you have access to.

3. Fill out the .xlsx template with all of your shift details. This can be done via any spreadsheet software such Microsoft Excel, Google Sheet, or Apple Numbers. Please note: This spreadsheet has a tab with instructions as well as separate tabs for Vet and Tech shifts.

4. As you fill out your shift information, there are some key things to keep in mind: First, try to be mindful of the required columns and ensure your entries are in the appropriate format (see below). Many of the columns have drop down menus, so you can simply select the option from the list.
   

Required Columns:

hospital_idPick from drop down, you can have multiple locations in the same sheet.
shift_dateDates must be in YYYY-MM-DD format and in the future
start_timeTimes must be in HH:MM AM/PM format and are required to start on a :00 or :30. (e.g., 08:00 AM, 02:30 PM).
end_timeTimes must be in HH:MM AM/PM format and are required to start on a :00 or :30. (e.g., 08:00 AM, 02:30 PM).

Other Columns:

       9 - Spay/Neuter (Tier 1)

⚠️ You can upload a maximum of 400 combined shifts between Vet Shifts and Tech Shifts

Note: If you are uploading a large amount of rows the tool may take a minute to complete.

 

5. Once you have completed your spreadsheet save it as a .xlsx file. It must be a .xlsx and cannot be another file type such as .csv. (You can do this in Google Sheets via the File > Download > Microsoft Excel

6.  In Roo, click Choose File to select your file from your computer.

7. If everything was filled out properly, it will return a status of Completed. You can then download a success report to review what was successfully uploaded.

If there are errors in your sheet, it will return a status of Completed with Errors. You will be able to see how many rows succeeded and how many failed, and can download a success report and a failure report from the Actions column. The failure reason is given in the final column (Column T), allowing you to correct errors and re-upload.

8. Once your posts have all been verified, click Post Shifts!

9. To see a record of your past uploads, click Shifts > Bulk uploads
